Privacy Policy

What we collect, why we collect it, and what we will never do with it.

Draft for review. This policy is a working template written for the CLAPS Society website. It must be reviewed and adapted to the organisation’s actual practices — and checked by a qualified adviser — before the site goes live.
  1. 1.Who we are

    CLAPS Society operates this website. Our registered legal name, registered address and registration details are published on our certifications page once verified.

  2. 2.What we collect

    When you contact us or apply to volunteer: your name, email address, and optionally your phone number, organisation, availability and the content of your message.

    When you donate: your name, email address, optionally your phone number, and the donation amount. If you request a receipt for tax purposes, we also collect your PAN and optionally your address, because a receipt cannot serve that purpose without them.

    Technical information: we store a salted, one-way hash of the IP address a form submission came from. This lets us detect abuse without keeping a record that identifies you.

  3. 3.What we never collect

    We do not receive, process or store card numbers, CVV codes, UPI PINs, net banking credentials or any other payment credentials. These are entered directly in the payment provider’s own secure window and never pass through this website or our servers.

  4. 4.Why we use it

    To reply to your enquiry, to process and acknowledge your donation, to issue receipts, to keep the records required of a registered organisation, and to protect the site from spam and abuse. We do not use your details to build behavioural profiles.

  5. 5.Who we share it with

    Our payment gateway, in order to process a donation you initiate. Our hosting and email providers, as a technical necessity of running the site. Government authorities, where a law or a reporting obligation requires it. Nobody else — we do not sell, rent or trade personal information, and we do not share donor lists.

  6. 6.How long we keep it

    Donation and receipt records are retained for as long as required by applicable tax and accounting rules. Enquiries are retained only as long as needed to deal with them and to keep a reasonable record of our correspondence.

  7. 7.Cookies

    The public pages of this site do not set advertising or tracking cookies. A single cookie is used for administrator sign-in, and only for people who log in to the admin area. If analytics are added later, this policy will be updated first and the specific tools named here.

  8. 8.Your choices

    You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to us at info@clapssociety.org and we will respond.

  9. 9.Security

    The site is served over HTTPS. Administrator passwords are stored as scrypt hashes, never in plain text. Access to donor records is limited to the people who need it to run the organisation. No system is perfectly secure, so if a breach ever affects your information we will tell you.

  10. 10.Changes and contact

    We will post any change to this policy on this page. Questions about privacy can be sent through our contact page.
